3. Data Processing on Our Website

3.1. Access Data/Server Logs

When you visit our website, access data (server logs) is automatically collected. This includes:

  • IP address
  • Date and time of access
  • Name of the file accessed
  • Amount of data transferred
  • Indication of whether the access was successful or resulted in an error
  • Type of browser and operating system used
  • Referrer URL (the previously visited page)

The server logs are stored for security purposes (e.g., to defend against attacks) and for error analysis. They are automatically deleted after 30 days, provided that no legal retention obligations (e.g., in cases of suspected criminal offenses) prevent this.


3.2. WP Statistics (Website Statistics)

We use the WordPress plugin WP Statistics to collect statistical data on the use of our website. The following data is collected:

  • Page views
  • Time spent on the site
  • Device type (desktop/mobile)
  • Geographic origin of visitors

This data is processed anonymously and is used exclusively to analyze website usage and improve our services. WP Statistics stores the data for 13 months on our server.

Note: WP Statistics does not use cookies and does not collect personal data such as IP addresses or email addresses. The data is presented only in aggregated form.


3.3. Cookies

Our website uses technically necessary cookies to ensure functionality (e.g., for storing language settings). We do not use any tracking cookies, marketing cookies, or analytics tools.


3.4. External Services

We do not use any external services (e.g., Google Analytics, Facebook Pixel, YouTube videos) that share data with third parties. All content (text, images, videos) is loaded directly from our server.

6. Separate Privacy Notice Regarding the Needs Assessment Pursuant to Section 8(1) and (2) of the Act on Assistance in Cases of Gender-Based Violence

The Act on Assistance in Cases of Gender-Based Violence (“GewHG”) requires the federal states to maintain a needs-based support system consisting of low-threshold protection and counseling services for victims of gender-based violence, distributed geographically in an appropriate manner. To analyze the actual needs for the State of Berlin, we documented, during the period from October 15, 2025, to December 15, 2025, which services those seeking advice or protection requested at our facility. For this purpose, we are counting the number of contacts made, how the contact was established, what counseling needs existed and for how long, what type of violence the person faced, and whether and how support could be provided. In addition, we will record some basic characteristics of each person, such as gender, age group, ZIP code, children, (health-related) needs, and living situation (but not names, addresses, dates of birth, or other characteristics that, on their own or through the use of a pseudonym, would allow the information to be traced back to specific individuals).

6.2. Purpose

Medium- and long-term needs planning for the State of Berlin pursuant to § 8 (1) and (2) of the Trade Regulation Act (GewHG) in accordance with the requirements and warranty obligations under §§ 4, 5 of the Trade Regulation Act (GewHG).

6.3. Legal Basis

The storage of data and its transmission to the recipients specified in more detail under 4. is carried out in accordance with § 22(1)(a) BDSG in conjunction with §§ 67c(2)(2) and § 75 SGB X, to the extent that this is necessary for the planning project in the social benefits sector as defined in § 8(1) and (2) GewHG.

6.4. Recipients

The data is transmitted in encrypted form to the Senate Administration for Labor, Social Affairs, Equality, Integration, Diversity, and Anti-Discrimination (SenASGIVA), Oranienstraße 106, 10969 Berlin, which engages the Center for Evaluation and Policy Advice (ZEP) for technical and organizational implementation. A data processing agreement pursuant to Art. 28 of the GDPR has been concluded with the ZEP.

After transmission (and before analysis), the data is aggregated at the institutional type level, so that no further analysis based on individuals or specific institutions is possible. The final data sets, anonymized in this manner, will be stored at SenASGIVA until December 31, 2027.

6.5. Duration of Storage

The data is entered by our institution into a data form provided by the Senate Administration. We no longer have access to this data after we have submitted it (similar to a contact form on a website).

6.6. Your Rights

You are entitled to the following rights vis-à-vis the controller, provided the relevant conditions are met:

  • Right of access (Art. 15 GDPR)
  • Right to rectification (Art. 16 GDPR)
  • Right to erasure (Art. 17 GDPR)
  • Right to restriction of processing (Art. 18 GDPR)
  • Right to data portability (Art. 20 GDPR)

You also have the right to lodge a complaint with a data protection supervisory authority if you believe that the processing of your personal data violates the GDPR.


7. Updates to the Privacy Policy

This Privacy Policy was last updated on April 17, 2026. We reserve the right to make changes that comply with legal requirements or serve to improve our data protection practices.
